What it is

What is a campus one card system?

A campus one card system turns the student ID into a single physical card that handles identity, building access, meal plans, and campus spending across the entire institution.

The Campus ONE Card consolidates student records, access control, financial IDs, and campus services onto that one card, so students carry a single credential and your departments manage everything from one platform. What sets it apart is how the cards get made: instead of the traditional picture-day model where every student lines up in person to have a photo taken and a card printed, students self-submit their own ID photos ahead of time. Once campus staff approve the photo and Herring Bank validates it against a government-issued ID, the card prints automatically — eliminating the long ID lines and staff hours that come with in-person photo capture, while still supporting in-person capture as a fallback. The result is a student ID card that doubles as a meal-plan card, building-access credential, Flex Dollars wallet, and campus payment card, all issued through one streamlined system and managed through a single administrative website.

What it does

A single credential across campus life

One card connects the services students use every day — and the systems your institution runs behind them.

Self-submitted photos

Students upload their own ID photo ahead of arrival — no picture-day line. Staff approve and the card prints automatically.

Government-ID validation

Each submitted photo is validated against a government ID before the card is printed, keeping IDs trustworthy.

Student ID & access

Photo ID plus building, fitness, and facility access through PROX and barcode technology.

Meal plans

Customizable meal plans and dining dollars tracked and redeemed at campus points of sale.

Flex wallet & spending

Closed-loop Flex Dollars and student-account spending across campus — a new avenue for campus revenue.

Print, copy & vouchers

Pay-for-print and copy control, plus book vouchers tied to the student's account.

No more picture day

Skip the line that costs you days of staff time

With traditional ID programs, every student shows up in person to have a photo taken and a card printed — often five minutes or more each. With the Campus ONE Card, students self-submit photos ahead of time, staff approve in bulk, and cards print automatically after government-ID validation.

~167 hours
of staff time at just 5 minutes each for 2,000 students — eliminated. In-person capture remains available as a fallback.

Questions

Frequently asked questions

Students self-submit their own photo ahead of time. Once campus staff approve it and Herring Bank validates it against a government ID, the card prints automatically — so there's no picture-day line. Traditional in-person photo capture is still available as a fallback.
Traditional ID programs take five minutes or more per student for in-person photos and printing. For an incoming class of 2,000, that's roughly 167 staff hours — time that's largely eliminated when students submit photos ahead of arrival and cards print automatically.
Each self-submitted photo is validated against a government ID before the card prints, so the convenience of remote submission doesn't come at the cost of ID integrity.
A single physical card can serve as student ID, building and fitness access, meal plan, Flex Dollars wallet, print and copy payment, book voucher, and general campus spending — all tied to the student's record.
Cards can include barcodes, QR codes, magstripe data, and PROX chips, allowing them to work across access control, POS, and closed-loop campus terminals.
